Office procedures dealing with COVID-19

 

Dear Client, Colleague and Friend:

It’s easy to talk about values and priorities.  It is harder to practice those values when clients, employees, and friends rely upon you for assistance and advice.  Hard decisions must be made in the face of adversity for the well-being of everyone involved.

Because of recent public gathering restrictions and spikes in the infection rates as a result of COVID-19 and the Delta and Omicron variants, we are taking precautionary steps to maintain the health of our clients and our staff.  For the 2022 tax season, we will not be accepting any face-to-face appointments here at our office.  If you currently have an appointment, you will receive a direct communication in the form of an email or phone call to discuss your options.  For those of you concerned about the preparation of your taxes, we are continuing to work normally in expectation of an April 18th tax filing deadline.  Any updates from the Internal Revenue Service, or the Federal government in general, regarding the filing deadline will be communicated to you as we learn about it.  Here is what you need to know about our safety procedures:

Data uploads – in lieu of a face-to-face meeting or a an in-person drop-off of your paper tax information, we are encouraging all clients to upload their information using our secure client portal from MyFirm360.  This will allow for the secure transmission of your tax documents while maintaining the safe environment that we work in.  If you need assistance in this process, please reach out to Becki here at our office at 317-991-3322 or becki@craceandbeam.com.

Information drop-offs – if you would prefer to drop off your tax info, we ask that you do not go past the reception area of the office and maintain social distancing while discussing any issues or tax details with our staff. Make sure to put all documents into an envelope with your name on the outside.  From there, we will take any necessary precautions to scan your documents and return them to you using a  sealed envelope for return to you later. If you require additional security or safety measures, please contact the office to schedule a curbside drop-off or pick-up.

Virtual meetings – if you believe that your taxes need a discussion or review, we are happy to do that utilizing current technology.  We can schedule a phone call or online meeting allowing us to review your documents and taxes with you from the safety of your home or office. We currently conduct our virtual meetings using Microsoft Teams or Zoom.

Consider an extension ­– an extension of time to file your returns is automatically approved by the IRS and gives you and us ample time to make sure that all items of income and deduction are squared away properly.  If you would like to extend your tax returns and wait for a face-to-face meeting later this Summer, please let us know.  We are happy to accommodate.

While you may believe that we are being overly cautious with our concerns, please know that your safety, as well as ours, is always in the forefront of our practice.  Given the data available at this time, we believe that we are making an informed and intelligent decision to adopt the precautions outlined above.  If you have any questions regarding this policy, please feel free to contact us.
