Office procedures dealing with COVID-19


Dear Client, Colleague and Friend:

It’s easy to talk about values and priorities.  It is harder to practice those values when clients, employees, and friends rely upon you for assistance and advice.  Hard decisions must be made in the face of adversity for the well-being of everyone involved.

Because of recent public gathering restrictions and spikes in the infection rates as a result of COVID-19, we are taking precautionary steps to maintain the health of our clients and our staff.  For the 2021 tax season, we will not be accepting any face-to-face appointments here at our office.  If you currently have an appointment, you will receive a direct communication in the form of an email or phone call to discuss your options.  For those of you concerned about the preparation of your taxes, we are continuing to work normally in expectation of an April 15th tax filing deadline.  Any updates from the Internal Revenue Service, or the Federal government in general, regarding the filing deadline will be communicated to you as we learn about it.  Here is what you need to know about our safety procedures:

Data uploads – in lieu of a face-to-face meeting or a an in-person drop-off of your paper tax information, we are encouraging all clients to upload their information using our secure Citrix Sharefile portal.  This will allow for the secure transmission of your tax documents while maintaining the safe environment that we work in.  If you need assistance in this process, please reach out to Dawn or Angie here at our office.

Information drop-offs – to limit the traffic in our office, we are not accepting any document drop offs or pickups directly in the office.  However, we will be placing a box in the vestibule of our office building allowing you to drop off your information.  Make sure to put all documents into a sealed envelope with your name on the outside.  From there, we will take any necessary precautions to scan your documents and return them to a new sealed envelope for return to you later. If you require additional security or safety measures, please contact the office to schedule a curbside drop-off.

Virtual meetings – if you believe that your taxes need a discussion or review, we are happy to do that using technology.  We can schedule a phone call or other online meeting allowing us to review your documents and taxes with you from the safety of your home or office.

Consider an extension ­– an extension of time to file your returns is automatically approved by the IRS and gives you and us ample time to make sure that all items of income and deduction are squared away properly.  If you would like to extend your tax returns and wait for a face-to-face meeting later this Summer, please let us know.  We are happy to accommodate.

While you may believe that we are being overly cautious with our concerns, please know that your safety, as well as ours, is always in the forefront of our practice.  Given the data available at this time, we believe that we are making an informed and intelligent decision to adopt the precautions outlined above.  If you have any questions regarding this policy, please feel free to contact us.
